Media Pass Policy

I. Credentials

To qualify for media access, must prove employment as media.

Mainstream media:

  • Byline in print or online w/ recognized media source (by RollerCon)
  • Photo identification as working with recognized media source (business cards and membership cards for journalism/media/communications/writers’ organizations are not sufficient proof)
  • Known by RollerCon Media staff as being a bona fide member of the media

Freelance:

  • Letter of assignment on letterhead from an accredited news source. We may request a copy of the publication to verify its legitimacy.
  • At least two (2) articles w/ individual’s byline dated within the last 6 months and dealing with a similar topic. If the individual covered RollerCon the year immediately preceding that of the request application, copies of this coverage may serve as a substitute for the two (2) bylined articles.
  • Known by RollerCon Media staff as being a bona fide member of the media

Online Publications (Blogs)

  • Site must contain editorial content covering roller derby or similar topics
  • Provide viewer stats and market saturation

Television, Film, and Video production companies:
Must submit a written request to film at least 3 weeks prior to the beginning of the convention. Approval is subject to Riviera Hotel Management review in addition to RollerCon. The request should include:

  • Information about the company
  • Synopsis of show/film/video/etc.
  • Information about backers of the project
  • Companies intending to produce material for internal use only or for marketing, advertising, or public relations purposes may not register as media.


Financial analysis, sales, advertising, marketing, public relations personnel, consultants, researchers, press group representatives, and other individuals who perform administrative roles are not considered media and will not receive media designation.


II. RollerCon Pass Categories

RollerCon offers three (3) different types of credential passes for media. They are:

Media (M) – This designation is for those verified as working for accredited media. Individuals classified as ‘M’ will have access to media-only areas and will receive a complimentary spectator pass good for the duration of RollerCon.

Photographer (P) – Designation given to those not necessarily affiliated with a media outlet, but who have attended RollerCon previously and shared their work with us. ‘P’ designation is issued mainly to freelance photographers who have attended RollerCon previously, but may be issued to others in some cases. Like ‘M’ designations, ‘P’ designees will have access to media-only areas and will receive a complimentary spectator pass good for the duration of RollerCon.

Permission to Shoot (S) – Those not verified as working for accredited media and/or who have not previously attended and covered RollerCon will be classified as ‘S’. S designees will be granted access to media-only areas, but are responsible for purchasing their own pass into the convention. **Please note: Designation as “media” only grants an individual access to media-only areas within the convention grounds. It does not grant access to participate in RollerCon Events as a convention attendee unless the permission is approved in conjunction with the purchase of a convention pass.


III. On-Site Guidelines

Registered media are required to check in at registration in order to receive their media designation as well as their pass (if applicable). Anyone failing to check-in, regardless of whether or not they are registered as a media person, will not receive the media credentials necessary to access media-only areas.

All RollerCon attendees—including media—are required to have their RollerCon pass and a form of government-issued photo identification on them at all times during the convention.

Media persons have access to all RollerCon events*, including the restricted MVP-only on-skates training classes. Though spectator pass holders are excluded from on-skate training classes, media designees are allowed into these classes for coverage purposes (space permitting). Please be aware that persons of the media who want to enter these classes for such purposes, but are wearing or carrying skates with them will not be allowed into the classrooms under any circumstances. Media are expected to obey directions given to them by class session instructors.

*Class instructors, game officials, and RollerCon staff reserve the right to designate any event as “closed to media.” No media person, regardless of designation, will be allowed into such events.

While members of the media are also allowed to access areas inside and immediately outside the main tracks to obtain material, they are not to do so in such a way that interferes in any way with game play. This includes things such as standing in the path of skaters and/or officials, standing in front of the penalty box, or blocking team coaches and officials from seeing the track at any time. In addition to RollerCon staff, game officials have the authority to ask media to move to a different location or to leave the track altogether at any time.

As members of the media are working while at the convention, it is expected that they behave in a professional manner. Inappropriate behavior may result in media privileges being revoked, removal from convention grounds, and/or barring of the individual or group from future RollerCon events.


IV. Ownership, rights, and permissions

Ownership
All photographs taken with RollerCon’s permission are owned by the photographer, and may be used at the photographer’s discretion with the following stipulations:

  • Prints may only be sold by the photographers at RollerCon if the photographer has a vendor booth.
  • RollerCon photos may not be sold for use as stock photography.
  • Absolutely no photos that contain nudity – intentional or otherwise – may be published or sold.
  • No RollerCon photos may be used for adult media or pornography.


Permissions

All RollerCon attendees sign the digital equivalent of a media waiver when they purchase their RollerCon passes. The waiver acts as a model release for our photographers & videographers. There are also signs posted at the venue that notify every person that enters that they are agreeing to being photographed and recorded.

As a condition of your approved media pass, your application grants permission to the organizers of RollerCon to use photographs you have taken to be displayed on the RollerCon website or used for other purposes with credit to you as stated in your request application. You grant RollerCon the right to crop or treat the photographs. You also agree to provide a high-resolution copy of photos taken at RollerCon to the RollerCon Media department via e-mail or by sending it to:

Rights
Every reasonable effort will be made to contact you to ask specific permission and notify you of any request to use your photos outside the RollerCon website galleries, unless otherwise stated.


V. Violation of this policy

By submitting your request for credentials application, you are agreeing to abide by the terms set forth in this policy. You agree that all the information submitted is true to the best of your knowledge. Anyone found to have deliberately falsified any information in their application for the purposes of misappropriating media access for non-journalistic or photographic purposes will be asked to leave the convention and will be barred from future RollerCon events. In addition, RollerCon organizers and staff reserve the right to:

  • Deny media access and/or passes to anyone for this and/or future RollerCon events
  • Revoke media privileges and/or passes of anyone found in violation of this policy at any time
  • Request the destruction of photographs or video footage found to be in violation of this policy
